Instructions for Conference Day Appointments – May 2026

Please follow the instructions below to sign up for Conference Days to be held on Thursday, May 14, from 1:00 – 4:00 pm for the Blue Cluster, and Friday, May 15 from 8:00 am – 3:00 pm for all clusters. Meet the Teacher will be used to make appointments for all clusters. Conferences will be held in person for all clusters. There will be an early dismissal on Thursday, and no school for students on Friday.

Registration for conferences begins on Wednesday, April 22, at noon, and closes on Wednesday, May 6, at noon.

Please note: The time set aside for conferences allows for only ONE conference time per student. Families should expect to attend all conference times together.

For the best user experience, we highly recommend completing this process on a desktop or laptop using a Chrome browser.

    1. Visit stephengaynor.meettheteacher.com
    2. Enter your first name, last name, and email address.
    3. Enter your student’s first name, last name, and date of birth. Please note, you must enter your student’s preferred name as it appears in the Parent Portal.
    4. On the next screen, click the date of Conferences to continue (where it indicates “Open for bookings”).
    5. You will be directed to a screen with your student’s name and teacher(s) name(s). Select the names of each of your child’s homeroom/advisory teachers and click “Continue to Book Appointments.” If you are a parent of siblings and wish to sign up to attend all of their conferences, please click here for instructions (Blue Cluster conferences are considered a separate event in Meet the Teacher so they will be treated as separate sign ups in Meet the Teacher so the sibling sign up process is slightly different). Conference times are per student; please do not sign up for more than one available slot per student. 
    6. Cluster Specific Information:
      Blue Cluster: For students in the Blue Cluster, parents will sign up for conferences for advisory and each academic subject. These are shown as 12 minutes each; each conference is 10 minutes with 2 minutes of transition time. Parents can only sign up for the teachers that are assigned to their students in Meet the Teacher. If there is a teacher you want to meet with but do not see on the schedule, please email the teacher directly. Please find your slot by using your child’s preferred name as listed on Veracross.
      Lower and Intermediate Divisions: Conferences with homeroom teachers are 25 minutes.
      Early Childhood (Purple Cluster): Conferences with teachers are 25 minutes. All classroom members, including speech-language and occupational therapists, participate in conferences with the teachers. EC parents do not need to sign up for separate conferences with their child’s therapists.
    7. Click any of the green cells to make an appointment. Blue cells signify where you already have an appointment. Grey cells are unavailable. To change an appointment, delete the original by hovering over the blue box and clicking Delete. Then choose an alternate time.
    8. Once you’re finished booking all appointments, at the top of the page in the alert box, press “click here” to finish the booking process. Once you have signed up for a slot(s), you will be unable to sign up during the same time period for your student or for a sibling during the same time period.
    9. Once you confirm the times, you will receive a confirmation email from “Parents Evening System” (noreply@meettheteacher.com) with your schedule for the day. Please note, this email can take up to 20 minutes to arrive in your inbox. If you need to amend the time slots, visit the link titled, “Click here to make changes to your appointment schedule” in your confirmation email.
    10. Please Note: If you would like to connect with your child’s specialist, therapist, or psychologist, please note you will be able to meet with them in person on a first-come, first-served basis. The first day of afternoon conferences are ONLY for the Blue Cluster.

Early Dismissal, Thursday, May 14
On early dismissal days for conferences, students are expected to be picked up promptly at 1:00 pm, or noon for the Blue Cluster. The bus service will be notified and arrangements made for those students who travel via bus to be picked up early. There will be no after school or interscholastic athletics.

Conference Day: No School for Students, Friday, May 15
As a reminder, there will be no school for students on Friday, May 15. Students and siblings will not be permitted in the building that day, and there is no supervised area for them to wait in, including lobbies or outside the classrooms.
